Staff holiday planning is simple, but there are a few occasions when your request triggers a warning alert. Here’s what you need to be aware of.
What Alerts Might be Flagged up When I Request a Holiday?
It’s important that Managers know if there are any holiday conflicts when requesting leave. For some conflicts you will still be able to submit your request, allowing your Manager to make the decision. Other conflicts mean you will not be able to submit your request.
Types of request where a warning message is triggered but can still submit your request. Approval will be at the discretion of your Manager:
✅ You exceed your holiday allowance.
✅ You’re designated a first aider or a fire marshal on the platform. This is to remind your Manager of the minimum coverage the office will be left with so they can check if it’s acceptable for the business.
✅ The date clashes with another colleague.
✅ The dates start in the past. This may be because you’re filling out historic records.
Types of request where a warning message is triggered but you cannot submit your request:
❌ You’ve made an overlapping holiday with one you’ve already submitted. In this case, the alert will ask you to correct this issue and try again.
❌ You can't submit a holiday request through your WorkSmarter account if you've already submitted an identical duplicate request, or have already booked a holiday within that period.
❌ Your holiday crosses multiple holiday years. In this case, the alert will ask you to submit two separate requests, either side of the holiday year start date, to ensure holidays are accurately calculated.
❌ You can't submit a holiday request through your WorkSmarter account if you edit an existing holiday request and have made no changes.
