Holiday Protocols

Additional facts you should know.

Holiday planning is simple, but here are a few extra facts you'll need to be aware of.

  • You will be notified if you exceed your holiday allowance. Your request can still be submitted, but it will be up to the Manager to approve or decline.

  • Sometimes you will see a warning when you submit a holiday request, for example if you have repeatedly taken more holiday than you are officially allowed. Even if you get a warning message, you can still submit your request but your Manager will be notified of the issue.

  • You can’t submit a holiday request through your WorkSmarter account if the holiday crosses multiple years - for example if the company's holiday allowance starts on January 1st and you're requesting leave over December and January.

  • You can't submit a holiday request through your WorkSmarter account if you've already submitted an identical duplicate request, or have already booked a holiday within that period.

  • You can't submit a holiday request through your WorkSmarter account if your request overlaps a holiday you've already booked.

  • You can't submit a holiday request through your WorkSmarter account if you edit an existing holiday request and have made no changes.

  • Employees can cancel their own holiday once it’s been approved, but must state the reason for cancellation. This will still need to be approved by their Manager. The holiday will remain pending and count against holiday allowance until the cancellation has been approved.

  • Details of a holiday that has already been taken in the past can still be submitted, to allow it to be recorded.

  • The Account Owner will see declined holidays on the Calendar, which means that if the employee is absent on those days then they will be aware.
