It’s Simple for Staff to Record Their Claims.
To Submit an Expense Claim:
Go to Services, click Expenses, then navigate to Record Expenses and select Add Receipt.
Summarise the item being claimed for, the date shown on the receipt, and select a category from the drop down menu.
Enter the amount, add the VAT amount if applicable, drag and drop the photo, file or scan of the relevant receipt into the box.
Provide any additional information if required.
Save the expense - you’ll see a confirmation message appear once this has been done and a report will be generated with all the details.
To access your own Expense Reports go to Services, select Expenses, then click on Expense Reports. You can filter by date range and category for easy searching.
To Submit a Mileage Claim:
Go to Services, click Expenses, then navigate to Record Expenses and select Add Mileage.
Enter a reason for the journey and the date you were travelling.
Enter your route information - from the start point to where you’re travelling to; then enter your return details.
If you’re returning to your starting destination, simply click Return to Start. Your most frequently visited destinations will appear in the Favourite Places box for speed entry. You also have the option to remove the final stop in your journey.
Distance and mileage cost will be automatically calculated for you. Enter your vehicle’s mileage reading before your journey started and we’ll calculate your vehicle closing mileage based on your route.
Any additional information can be entered at the end.
Save mileage. A confirmation message will appear and the Expense Report will be generated.
Can a Claim Report be Deleted Once Submitted?
Only managers can delete an employee’s claim report: go to manage employee, locate their expense report, select to bring up the details and click delete.
What File Types can be Uploaded?
You must upload a file of type doc, docx, xls, xlsx, pd.f, png, jpg, jpeg, gif. The upload field must not be greater than 12288 kilobytes.
Are Notifications Sent?
Yes. Reminders and notifications emails are automatically sent, depending on your custom settings and the review frequency you’ve set.
