Our Guide Walks You Through Reporting Procedures

WorkSmarter’s simple platform makes it easy to track absences across your company. Recording an absence accurately and promptly is crucial for maintaining accurate employee records and ensuring smooth workflow within your organisation.

Who Can Report an Absence?

Managers can log absences for their team members by clicking on Absence Management via Services. This ensures records remain accurate if an employee is unable to log it themselves. For details of how to do this, see our related Help Centre article: Record an Absence.

Staff users can also self-report an absence, if permission for this function has been turned on. They can self-report either directly from the platform or via the app. Once recorded, managers will be notified that the employee is away and the normal process can be followed. Only the manager can edit, update or delete an absence once it has been added to WorkSmarter.

On the Platform:

1. Go to the dashboard and click on Time Tracking, then select Absences →Report an Absence.

2. Select the absence reason, whether it’s unpaid, paid or SSP. Select whether the absence is from the start of the working day or midway through, and then the absence start date. If the employee knows when they’re returning they can set that date as well.

3. Add any relevant comments and upload any accompanying documents. If these are not yet available, they can be uploaded later.

4. Save the absence.

On the app:

1. Go to the Dashboard and click on Report an Absence to notify your manager if you’ll be off work. Fill in the detail: date/s, cause of absence, whether it’s paid, unpaid or SSP, any comments and then tap to save. We’ll let your managers know straight away.

How do Managers Switch on User Self-Report Permission?

1. Go to the dashboard and click on Organisation. Go to Manage Employees, then View Employees.

2. Select the user; go to Edit Profile and select Permissions.

3. Click on Absences at the top and click on Self-Report an Absence, then Save to enable this function.

How Can I See who has Permission to Report an Absence?

1. Managers can check permission status by going to Organisation on the dashboard.

2. Select Manage Employees → View Employees. Select the user, go to Edit Profile, and click on Permissions. Navigate to the Absences section at the top to check their permissions.

How Do I see all User Permissions and Roles?

You can run a Report to see this across your organisation:

  • Go to Reports in the Dashboard.

  • Go to Data Exports and click on Permission Report. You can either select everyone in the company or individual users.

  • Download the report for all your granular information.
