Review Your Team’s Holiday Requests

Approve or Decline a Request for Annual Leave.

When an Employee submits a new holiday request, we’ll send details and a link to the relevant managers so they know that this request is awaiting approval. A new message will also be sent to the Notifications section on their account.

The Services tab shows a red notifications prompt when reviews are outstanding. The Holiday Summary on your dashboard also provides detail of all pending holiday requests. The pending request will appear in yellow on the Holiday Calendar so you can reference it against any other holiday bookings.  

To Review the Request:

  1. Use the email link we sent, or click the link on your dashboard next to the outstanding request. Alternatively, go to Services then Holiday Planner and click Review Requests. 

  2. From here you’ll be taken to the Holiday Requests page where you’ll see all the details, comments, and any alerts, and can instantly approve or decline. 

  3. If you decline, you’ll be prompted to provide a reason which the employee will see. When you decline a pending holiday request, the details will show on this screen so that you can make any changes in future if you need to do so. Managers will also see declined holidays on the Calendar, which means that if the employee is absent on those days then they will be aware.

  4. Once the decision has been submitted, the employee will be notified immediately.

The Holiday Calendar

The Holiday Calendar keeps everyone up to date. Pending holidays show in yellow; you’ll see approved holidays in green; any holiday that's been declined will appear here in pink. By clicking on the event in the calendar, you can view all the details and also make edits or cancel the booking if necessary. 

What Happens if an Employee Amends or Cancels Their Holiday Request?

If the employee amends their request, the manager will be notified straight away and the calendar will revert to pending (orange.) 

Cancelled holiday requests require manager approval before they are removed from the employee's holiday record and we'll email you first to allow you to approve or decline it. Until you review the cancellation request, it will continue to count against the employee's holiday allowance. If cancelled, the holiday will revert to grey on the calendar but will still need manager review. Holiday entitlement will be automatically recalculated where appropriate.
