Save & Share Documents to HR Files

Granular Control - Simple, Safe, Secure.

Every user has their own HR File so that you can keep their personal information in one secure central place that’s easy to manage.

To save a document to an HR file:

1. Go to Services and select HR Files.

2. Click the Upload Files button.

3. Compatible with all file types, drag-and-drop documents stored on your device into the box. Make sure you’ve selected the correct employee and folder before saving. You can upload multiple documents if you wish.

4. The document will appear under the user’s name on the HR File screen. From here, request any signatures that are required, edit, download, and share in the usual way.

5. To share company documents, go to the 3 vertical dots menu on the screen, then select Share File. You can share documents with everyone, selected departments, or specific employees by adjusting the sharing settings.

Can I Upload Recruitment and Onboarding Documents to Reuse for new Team Members?

Yes! Simply upload them into the Policies folder to reuse easily whenever onboarding new employees. Go to Edit HR File where you can tick the box to allow copies to be sent to new starters during onboarding. If checked, you will be able to select and attach a copy of this file for new employees when adding them using the New Employee Onboarding process.

Can Employees Upload Documents, Such as Qualifications or Certificates?

If the user has been granted access to their own HR files, employees can upload their documents by clicking on HR Files via the Services Tab.
