View and Track Absences

WorkSmarter’s intuitive system makes it simple to track employee absences. Automated notifications and alerts, real time summaries, and an easy-view shared calendar keep managers and teams informed and up to date.

• As soon as an absence has been recorded, we’ll notify the relevant Managers that this team member isn’t going to be available. You can choose which employees have permission to see the dates their colleagues are absent.

• All records will be updated and the absence will appear on the Absence Calendar. Click on the event to see the details.

• You can also see a summary of ongoing absences on your Dashboard, via your Absence Summary, and view which absences roll over into the next 7 days.

View Absences by Employee

1. Go to Organisation → Manage Employees → View Employees.

2. Select User, navigate to the Absences section, and you’ll be able to see a record of all ongoing and concluded absences date listed for each absence year.

3. A summary, including the Bradford Factor, appears at the top.

Reports

Our advanced features let you fetch data about staff absences and time off.

Go to Reports → Data Exports → Absence Reports to get the details you require.

Can the Shared Absence Calendar be Turned off?

Yes, WorkSmarter allows admins to restrict calendar visibility. You can configure it so that only managers and HR team can view full details, or limit it to show only approved time off without specific reasons.

Can Employees see who is on Leave?

This depends on the company settings. By default, employees can see if colleagues are absent or on holiday but won’t see the reason (e.g., "Annual Leave" instead of "Sick Leave".) However, admins can customise these settings.

Can WorkSmarter Help With Bradford Factor Calculations?

Yes, the system includes a Bradford Factor calculator, which helps track frequent short-term absences to identify potential absence issues. Include this metric when you create an Automatic Alert.
