The Exceptions Report is designed to highlight discrepancies between:

  • Contracted working hours

  • Actual worked hours (timesheets)

  • Approved or unapproved absence

This helps managers and HR teams quickly identify problems without manually reviewing data.

What the Exceptions Report Flags

When worked hours differ from contracted hours.

Example:

  • Contracted: 37.5 hours

  • Worked: 40 hours

  • → +2.5 hours (Over)

Missing Timesheets

When an employee is scheduled to work but hasn’t logged time.

The system checks for:

  • Holiday

  • Planned absence

  • Unplanned absence

Result:

Covered → reason shown

Not covered → flagged as Missing Timesheet / Unauthorised Absence

Worked During Absence

When an employee logs time during approved leave.

→ Exception: Worked During Approved Absence

Partial Day Exceptions

When fewer hours are worked than scheduled.

Example:

  • Scheduled: 8 hours

  • Worked: 5 hours

  • → -3 hours (Under)
